Administrative Coordinator | Consultancy | Colombia

The Hague Institute for Innovation of Law (HiiL), a civil society organisation dedicated to people-centred justice and SDG 16.3, is looking for an Administrative Coordinator, preferably based in Bogota/Colombia.

HiiL is part of the Inclusive Justice programme that aims to increase Colombian’s confidence in Justice by reducing levels of impunity, increasing access to quality justice, and promoting respect for the rule of law. The Activity will pursue this goal through a focus on three objectives:

Objective 1: Contribute to reducing impunity by supporting improvements in the use of justice sector tools for the investigation, prosecution, and resolution of high-impact crimes.

Objective 2: Strengthen conflict resolution amongst communities and local justice.

Objective 3: Improve public trust in the rule of law.

To achieve these objectives, HiiL takes a people-centred justice approach in program design and implementation. Under this approach, justice system improvement is focused on being responsive to people’s justice needs, their experiences, and promoting citizen participation in the justice system and in a rule of law culture which enforces people’s rights. This approach strengthens justice systems by creating a cycle that will allow reducing impunity, exercising a culture of legality, and enforcing the rule of law over the medium term.

As an Administrative Coordinator, you will support HiiL’s programme in Colombia. You will be responsible for ensuring the programmes run smoothly, communicating with stakeholders in Bogota, the project municipalities across Colombia and HiiL headquarters. You will bring solutions when necessary.

What are you going to do?

  • You coordinate and assist HiiL staff in Bogota and The Hague, Inclusive Justice teams in Bogota, field offices and beneficiaries, and third-party providers;
  • You provide administrative support such as scheduling appointments, managing calendars, making travel arrangements, and organising meetings and events;
  • You prepare meetings, send invitations, take minutes, send follow-up materials;
  • You respond to emails, file documents, and maintain records;
  • You prepare reports, memos, and other documents as needed;
  • You create and maintain spreadsheets, transcribe interviews and digitise paper-based questionnaires;
  • You participate in project meetings;
  • You perform general office duties such as ordering supplies, maintaining office equipment, and ensuring a clean and organised workspace while ensuring tight budget control;
  • You follow the processes and procedures of The Hague Office (Project Management,procurement, Finance, HR);
  • You assist with any other duties as assigned by the authorised HiiL supervisor.

Our new colleague :

  • Has a high school diploma or equivalent;
  • Has strong communication skills, both written and verbal;
  • Has working knowledge of English;
  • Is proficient in Google apps such as Google Doc, Google Spreadsheets, Google Slides, Google Drive and similar. Proficiency in MS Office is an advantage;
  • Is able to work independently and as part of a team;
  • Has excellent organisational and time management skills.

What else:

  • Starting date: 01 May 2023 
  • We offer a full time (40 hours) service provider (consultancy) contract for an initial period of 12 months subject to a renewal based on the performance;
  • You are commissioned to work as a consultant with a competitive fee and expenses.
