The Hague Institute for Innovation of Law (HiiL), a civil society organisation dedicated to people-centred justice and SDG 16.3, is looking for an Executive Assistant to join its Executive Office in The Hague.

The COO drives an agenda of innovation and is focused on ensuring that each department is results and data-driven, strategically aligned, and designs and delivers right fit services to the HiiL’s country programmes. In this context, the Executive Assistant’s primary responsibility is to provide high quality, core administrative support to COO in continuing to build an effective and performance-focused department. A critical part of the role is operating as the pro-active, visible peer across the Executive Office. In this role, the Executive Assistant has visibility into and supports the most strategic efforts of HiiL.
In addition to providing all executive assistance to the COO, the EA will also provide operational support to the COO in a timely way and ensure that all elements of the COO office are managed professionally, proactively, and efficiently in service of HiiL
What are you going to do?
- You are responsible to strategically organise and plan meetings for the COO;
- You conceptualize and coordinate all related travel activities (visa, flights and hotel accommodation) and business expenses in time;
- You perform administrative tasks as required by the COO, follow-up outstanding issues, checks expenses and prepare expense reports;
- You contribute to the COO’s preparation and follow-up of all meetings of the Supervisory Board and ensure that meeting locations are available, including agenda preparations;
- You ensure organising Executive Board scheduling needs, arrange and facilitate meetings and keep the archive up to date;
- You support the COO with the Progress Review cycle;
- Facilitates work between the COO’s office and other departments to establish seamless communication and exchange between internal partners;
- Works on strategic projects and events as directed;
- Perform other job-related duties, as assigne;
- Additional responsibilities to be determined based on capacity, skills and interest.
Our new colleague:
- Has at least 10 years of relevant work experience in a similar position, preferably in an international, non-profit environment;
- Preferably a Bachelor's degree or HBO in Administration or any relevant field;
- Has a first nature of being extremely structured and organised;
- Has impeccable integrity and ability to deal with information of confidential nature;
- Has full professional proficiency in English; verbally and written. Knowledge of Dutch and French are an extra asset;
- Has experience in and/or strong interest in working in an international environment.

What else:
- Starting date: 1st of April 2023 (or earlier);
- We offer a position for an initial period of 12 months with the aim of building a long-term work relationship;
- Holding EU-citizenship or NL working permit;
- A monthly salary for a full-time working week between €3.500/ €4.500 based on relevant experience;
- More than 8 weeks of holidays when working full time;
- NS Business card for commuting;
